1. Back Up Your Data – and Test It

Schedule regular backups of critical data. Keep external storage separate, encrypt it, and test backups periodically. Nothing is worse than discovering a backup doesn’t work when you need it most.

2. Strong, Unique Passwords + Multi-Factor Authentication

Avoid reusing passwords. Use long, unpredictable combinations (the NCSC recommends “three random words”). Enable MFA wherever possible to add an extra layer of protection.

3. Be Mindful of Your Surroundings

In public or shared spaces, avoid exposing sensitive documents or screens. Be conscious when discussing private business matters or customer details.

4. Spot and Resist Suspicious Emails (Phishing)

Train staff to identify red flags: poor spelling/grammar, urgent requests, unusual payment instructions, or emails that appear to be from known contacts. Verify suspicious messages via another channel before acting.

5. Keep Anti-Virus / Anti-Malware Up to Date

Ensure all devices – office, remote, and mobile – run reliable protection software and stay fully updated. Ignored updates are invitations for attackers.

6. Lock Devices When Unattended

Even short absences require locking screens. Longer absences? Secure or shut down devices.

7. Secure Wi-Fi and Network Connections

Use encrypted, password-protected Wi-Fi (WPA3 where possible) and avoid open or public networks for sensitive work. Consider a VPN for additional protection.

If a Breach Occurs

If personal data is involved, the ICO requires reporting within 72 hours. Quick action helps mitigate damage and demonstrates compliance.
